Event Accessibility: Planning Events and Experiences that Work for Everyone

Event accessibility is the practice of intentionally shaping spaces, systems, and experiences so every participant can engage fully and without barriers from registration through post-event follow-up. Grounded in LaVant’s 5 Pillars of Accessibility™, this training offers a holistic and proactive approach to planning that moves beyond checklists and last-minute fixes by integrating access into each stage of an event’s lifecycle. The session explores practical methods for strengthening both in-person and virtual experiences, including thoughtful program and site design, accessible pathways and signage, effective use of interpreters, captioning, high-quality venue and platform selection, and strategies for hospitality-centered operations. Guidance is also provided on building digital access into materials and communication, from registration and visual schedules to screenreader-friendly formatting and audio-described media, so events are structured to support comfort, trust, and full participation for all attendees.

This session will be held on March 31, 2026 and will be repeated again on September 17, 2026.

Andraéa LaVant | Founder/CEO (she/her), LaVant Consulting

Andraéa LaVant is a national and international disability inclusion expert. She is most notably recognized for spearheading a global disability justice movement as Impact Producer for Netflix’s Oscar-nominated film, Crip Camp, executive produced by President Barack and Mrs. Michelle Obama. With over 15 years of experience, Andraéa has championed disability inclusion across industries. This includes guiding award-nominated campaign initiatives and programs such as Google’s All-In Inclusive Marketing initiative and accessibility for the 94th-96th Academy Awards. A passionate advocate, Andraéa leverages her experience to drive change. Prior to establishing LaVant Consulting, she led disability inclusion for Girl Scouts Nation’s Capital, the nation’s largest council in the country. She has been featured on Good Morning America, NBC, Essence, Paper Magazine, and more. As a Black, disabled, queer woman, intersectionality is her cornerstone. Andraéa is committed to a future where everyone, particularly disabled people of color, is valued in society.

Sofia is an Ecuadorian-American woman living in Sacramento, California. Her multi ethnic identity colors her personal experiences with race, disability, and gender, while also informing the ways she understands intersecting forms of oppression. Her love of and appreciation for the disability community on the Internet acted as kindling for her work creating accessible social media experiences for people with disabilities. She feels called to do disability-focused social impact work, having been a part of Sins Invalid, the Crip Camp impact campaign, and chronic illness advocacy groups.
